To develop a calendar of events, new to the establishment, in conjunction with the events sub committee based on the hotel’s needs, objectives and budget.
To produce an events budget, agreed with events sub committee, and work towards with the aim of running a minimum of one major event per month.
To produce individual costings per event, in line with budget, for agreement with General Manager
To complete a post event cost analysis, and client feedback and forward to General Manager and events sub committee.
To research & generate sales leads and make appointments as necessary through daily reading of newspapers, magazines, periodicals, internet etc.
To carry out ‘cold calls’ in order to generate event revenue.
To liaise with other venues regarding artists/tours schedule and best use of time/money.
To communicate effectively with Tour managers/promoters and potential customer/s to identify client needs and be aware of protocol and security if applicable.
To ensure all administrative back up (including legal documentation) is completed per event.
To liaise closely with hotel departments e.g. C&B/Reception/Reservations regarding availability.
To be aware of hotel social networking mediums with regard to events and event promotion/correspondence.
To follow-up all leads passed to you by Sales Office, Hotel Managers or events sub committee.
To liaise with multi agencies and to keep up to date with current legislation in relation to the delivery of events
To be the central contact for events both prior to, leading up to, and during the event.
To actively work towards increased bedroom occupancy in conjunction with events.
To develop and maintain a database for event activity.
To be familiar and develop knowledge of all in house reporting systems, e.g. Opera.
To ensure compliance with all accounting control procedures.
To liaise with external agencies, newspapers etc to ensure events are successfully promoted externally and internally, in the most cost effective manner.
To ensure the health, safety and welfare of yourself and others who may be affected by your behaviour.
To maintain a high standard of personal hygiene and grooming.
To Comply with all safety rules and procedures e.g. Health and Safety, Hygiene and Fire.
Any other duties reasonably requested by Management.
You should have excellent communication skills, be computer literate and have at least 2 years previous experience in a business to business sales environment. You should also have previous similar experience in event management/promotion.
